Exhibitor Sales Specialist

Reporting to the Director of Exhibits, the Exhibitor Sales Specialist supports exhibit space sales, payment processing, and exhibitor relations. Responsibilities include managing inquiries, resolving billing issues, and assisting with exhibitor placement and onsite logistics. This role also focuses on growing exhibitor participation by identifying prospects, securing new business, and maintaining relationships with current and potential exhibitors. The Exhibitor Sales Specialist ensures a smooth and successful experience from initial outreach through event execution, while supporting overall sales goals.


  • Build and maintain long-term relationships with exhibitors, acting as a liaison to ensure their needs are met throughout the event cycle
  • Develop and implement strategies to support exhibitor recruitment and retention, with an emphasis on increasing participation and meeting sales goals
  • Initiate outreach to approved retailers and prospective exhibitors to promote available exhibit space and expand exhibitor engagement
  • Provide exceptional customer service and support to exhibitors before, during, and after SDCC events
  • Serve as the primary point of contact for exhibitor inquiries, responding to emails and phone calls related to exhibit space in a timely and professional manner
  • Review and verify exhibitor applications for accuracy, prepare data for import, and ensure consistent formatting across platforms
  • Collaborate with the Accounting Department to calculate, verify, and invoice exhibitor payments, and ensure timely processing in accordance with SDCC-established deadlines
  • Monitor outstanding payments and provide follow-up communication to exhibitors to support resolution of billing issues
  • Support the assignment and management of exhibit space, ensuring accurate verification and distribution of placements in accordance with SDCC-established guidelines
  • Oversee placement and coordination for the Small Press Pavilion, ensuring accurate documentation and exhibitor communication is consistent 
  • Assist in the design and organization of the exhibit floor plan, optimizing space layout and enhancing the overall exhibitor experience
  • Collaborate with the Director of Exhibits to support exhibitor placement, participate in planning meetings, and address exhibitor-related needs
  • Maintain and update exhibitor information across approved systems and databases
  • Coordinate with the Exhibit Registrar to support registration-related tasks, ensuring accurate data entry, updates, and application processing
  • Engage directly with exhibitors during the convention by walking the exhibit floor, offering real-time support, and addressing questions or concerns
  • Ensure exhibitor compliance with SDCC-established policies and procedures, including registration protocols, payment schedules, and documentation requirements
  • Track and compile exhibitor feedback post-event, providing summary reports to inform future planning and process improvements
  • Provide administrative support to the Exhibits Department as needed, including preparing internal reports, scheduling meetings, and organizing relevant documentation
  • Perform other duties as assigned

  • Minimum of 2 years experience in event sales, exhibition sales, or related industries
  • Strong organizational skills with demonstrated ability to manage multiple priorities and deadlines effectively in a detail-oriented environment
  • Experience coordinating large-scale events or conferences, with a clear understanding of event logistics, exhibitor needs, and floor plan management
  • Familiarity with customer relations and customer account management, including outreach, follow-up, and client retention strategies
  • Proven ability to interpret and apply policies and procedures consistently and fairly across varied stakeholders
  • Experience engaging with customers in person, by phone, or in writing, especially in high-volume, fast-paced settings
  • Ability to collect, review, process, and present feedback and data to inform continuous improvement efforts and support strategic planning
  • Demonstrated experience working cross-functionally with departments such as accounting, marketing, and exhibits to ensure seamless event execution
  • Adept at reviewing applications or forms for completeness and accuracy, including data entry, formatting consistency, and error correction
  • Comfortable initiating outreach and sales-related communication with potential exhibitors or retailers
  • Proactive and solutions-oriented approach to resolving exhibitor concerns and challenges, with a focus on maintaining positive relationships
  • Must be familiar with popular arts and culture, as well as education, and must have the ability to promote the organization’s mission, goals, and values
  • Proven track record of effectively reaching targeted audiences
  • Strong analytical skills for interpreting data and optimizing marketing strategies
  • Ability to work independently and collaboratively with minimal supervision and problem-solve in complex situations
  • Ability to maintain a positive and professional demeanor as well as demonstrate credibility, integrity, and confidentiality

  • Excellent verbal and written communication skills
  • Knowledge of and proficiency in in-office systems used by the organization, including but not limited to Microsoft Office, Google Suite (G Suite, formerly Google Apps), specifically Google Mail (Gmail), Google Drive, Google Docs/Sheets/Slides, Configio, and ClickUp; as well as other common office software and  applications 
  • Familiarity with or willingness to learn current and new systems and platforms used by the organization
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing

  • Standard work schedule (Monday-Friday from 9:00 am to 5:30pm)
  • Must be available to work evenings, holidays, and weekends as needed
  • Overnight stay may be required during events
  • Crowded conditions (both inside or outside event spaces)
  • Direct (face-to-face) customer and vendor contact
  • May be required to work outside with little or no shade and warm temperatures

  • This position requires close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading
  • Occasionally lift or move up to 25 pounds unassisted and bend or stand as necessary.
  • Frequent sitting, walking, and standing for long periods
  • Occasionally stand for extended periods of time (8-10+)
  • Walk extensive distances (up to several miles daily)
  • Perform repetitive tasks with few breaks
